12. Connected Business Accounts and Bookkeeping Information

When you choose to connect a business financial account to Cotarion Platform, we use Stripe Financial Connections to request the account information you authorize. Depending on the account and permissions you grant, this may include the financial institution, account name and type, masked account identifiers, balances, and transaction dates, descriptions, amounts and status. You select the accounts to share through Stripe's connection process. Bank authentication is handled by Stripe or your financial institution; Cotarion does not ask you to send us your online banking password.

We use this information for the bookkeeping services you request, including transaction review, expense categorization, reconciliation, financial and cash-flow reports, and records prepared for your accountant. An authorized connection may retrieve updated information while it remains active. The last available update is separate from the date you review or reconcile your books. Bank information may be delayed or incomplete and should be checked against your financial institution's statements.

Access within Cotarion is limited to personnel and contractors with explicit authorization for the relevant business's bookkeeping. Assignment to a client project, listing as a business support contact, or a referral relationship does not by itself provide access to financial records. Cotarion Inc., Cotarion Consulting Group LLC and Cotarion Software LLC may process information as needed to operate and support the service. Contracted hosting, storage and bookkeeping providers receive only the access necessary for their services. We provide records or reports to an external accountant or other business support professional only as authorized by your business. We do not sell connected-account data, use it for advertising or lending decisions, or use the bookkeeping connection itself to initiate payments or move money.

You may stop future collection or disconnect through your account's connection settings, use Stripe's connection controls, or request assistance from info@cotarion.com. A disconnect request stops further collection by Cotarion and requests removal of provider access. Connection settings show when provider removal has completed or needs attention. Stopping collection or disconnecting does not automatically erase transactions already incorporated into your books, supporting receipts, reconciliations or audit records. We retain those records as needed to provide your services, meet applicable recordkeeping obligations and resolve disputes. You may request access, correction or deletion by contacting us, subject to those requirements and appropriate identity and business-authority verification. Stripe separately handles requests relating to information it maintains under its own privacy policy.

We store the connected-account data maintained by Cotarion in the United States and apply access controls and other reasonable administrative, technical and organizational safeguards.
